This is a busy and highly impactful Executive Assistant role supporting the Director Planning and Environment, working at the centre of decisions and projects that shape how the Macedon Ranges grows, develops and protects its unique environment. The role is critical in ensuring a complex and fast-moving directorate operates smoothly through strong coordination, communication and workflow support.

Macedon Ranges Shire Council is seeking a skilled, highly organised and tech-savvy Executive Assistant to support the Director Planning and Environment during the period May 2026 to September 2027. This is a trusted executive support role working closely with senior leaders, technical specialists and internal stakeholders across planning, environment and corporate functions.

About the role
The Executive Assistant provides high-level, confidential and proactive support to the Director, ensuring priorities are managed effectively in a dynamic environment. The role manages diaries, correspondence, reporting and directorate workflows, and acts as the first point of contact for the Director’s office, managing enquiries, priorities and follow-up.

A key aspect of the role is supporting the committee and Council meeting reporting lifecycle, including forward planning, preparation and coordination of agendas, reports, minutes and supporting documentation. The role maintains regular interface with Councillors and supports communication between the Director, Councillors and senior leaders to ensure clear and effective information flow.

The position coordinates briefing materials and reporting to support the Director’s participation in key meetings and decision-making forums, while monitoring emerging planning, development and environmental matters to ensure the Director is well informed and supported in decision-making.

About you
You are an experienced Executive Assistant or senior administrator who thrives in a fast-paced, complex environment and enjoys supporting leaders to deliver meaningful outcomes. You bring strong judgement, political awareness and the confidence to work across a diverse organisation with competing priorities.

You communicate clearly, think ahead, and are highly capable in coordinating multiple workflows at once. You are confident with technology and digital tools, and actively look for better ways of working — using innovation and problem-solving to improve efficiency, information flow and team effectiveness.

We support flexible working arrangements. This role is initially office-based for onboarding, with hybrid work available in the future once established in the role, subject to manager approval and operational needs.
